Media library
The media library turns a file on your computer into a link you can use in WhatsApp messages. Upload an image, PDF or video once, copy its URL and paste it wherever Wbiztool asks for an Image URL or File URL.
Open it from Tools → Image/File To Url in the sidebar, or go to /media-directory/. The page is titled Media Directory.
Upload files#
Choose files
Under Upload Media Files, click the upload area or drag files onto it. You can select several files at once. The selected files and their sizes are listed.
Upload
Click Upload. Wait while "Uploading N file(s)..." shows. When it's done you see "File uploaded successfully" (or "All N files uploaded successfully"). Click OK and the page reloads.
New files appear first under All Media Files. To clear your selection without uploading, click the button next to Upload.
Supported files#
Each file can be up to 64 MB.
| Type | Accepted formats |
|---|---|
| Images | JPG, JPEG, PNG, GIF, BMP, WEBP |
| Documents | PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, TXT, CSV |
| Audio | MP3, WAV, OGG, AAC, M4A |
| Video | MP4, MOV |
| Archives | ZIP |
The type is checked from the file extension, so keep the extension on the file name. WEBP, AAC and M4A are allowed but can still be rejected, depending on how the server recognises the extension. Other formats, including AVI, may be rejected with "File type not supported". Convert them to one of the formats above.
WAV and OGG files upload fine, but they don't send as audio: OGG files, and WAV files sent as an image, are marked Failed with "File type not supported", and a WAV file sent as a file arrives with .pdf added to its name. Convert audio to MP3 or M4A before sending.
If one file in a selection is too large or unsupported, nothing in that selection is uploaded. Remove that file and upload the rest again.
Find and copy a link#
Each file card shows its name, size, upload date and the start of its link.
- Copy URL: click the link or the copy button. You see "URL copied to clipboard!".
- Open in new tab: opens the file so you can check it.
- Search file name filters the cards by name, and Select Type shows All Types, Images or Documents (everything that isn't an image, including audio and video). The two filters don't combine: using one ignores the other.
Use a link in messages#
Paste the copied link into:
| Where | Field |
|---|---|
| Dashboard quick send | Image URL or File URL. See Send messages from the dashboard. |
| Campaigns spreadsheet | The Image/File Url (Optional) column. See Campaigns from a spreadsheet. |
| Template messages | Image URL or File URL. See Template messages. |
| Reminders | Image URL or File URL (a reminder's File URL can be at most 100 characters, so most Media library links only fit through the API). See Reminders. |
| Google Sheets triggers | Media URL Template. See Google Sheets integration. |
| The API | img_url or file_url in Send message and other endpoints. |
Stored files are renamed, so a link ends in a name like media_1234_17580000000000_0.pdf rather than your original file name. That's the name recipients see when you send the file from the dashboard, a campaign or template messages. To show a friendlier name, send the file through the Send message API with file_name.
Delete a file#
Click Delete file
On the file's card, click the delete button (Delete file).
Confirm
The dialog asks "Are you sure you want to delete this file? This action cannot be undone." Click Yes, delete it!. You see "File deleted successfully" and the file disappears from the list.
Deleting removes the file from your library and from the storage total on the dashboard, and it can't be undone there. The stored file itself isn't erased, so links you already used or shared keep working.
Troubleshooting#
| Message | What to do |
|---|---|
| "File "…" is too large. Maximum size is 64MB." | Compress the file or split it. |
| "File type not supported for "…"" | Use one of the formats listed above, with the correct extension. |
| "No files provided" | Select at least one file before clicking Upload. |
| "N of M files uploaded successfully" | Some files failed; the failed names are listed. Try those again. |
| "All files failed to upload" | None of the selected files could be stored. Try again with one file at a time; if it keeps failing, contact support. |
| "Upload failed: …" | Something went wrong on the server. Try again later, and contact support with the error text if it repeats. |
| "Upload failed. Please try again." | Check your connection and try again with fewer or smaller files. |
| "Failed to copy URL" | Your browser blocked clipboard access. Click Open in new tab and copy the address from the browser bar. |
| Message with a WAV or OGG file failed with "File type not supported" | OGG audio, and WAV sent as an image, can't be sent. Convert audio to MP3 or M4A before sending. |
| Message with the file failed | Check the file is within WhatsApp's size limits above, and open the link to confirm it still loads. |
