Connect your WhatsApp number
Wbiztool sends messages from your own WhatsApp number, linked the same way as WhatsApp Web. This guide shows how to connect a number on the Whatsapp Phones page, keep it connected and manage it afterwards.
Before you start#
- A verified email address. Until you verify it, the page sends you to the email verification screen.
- WhatsApp or WhatsApp Business installed and working on your phone.
- A free WhatsApp slot on your plan. See Number limits.
- To delete a number, or to redeploy one that's still connected, you need the owner or editor role in the workspace.
Connect a number#
Open WhatsApp settings (Whatsapp Phones in the sidebar). The Start New WhatsApp Client card is at the bottom of the page.
Enter your number
In WhatsApp Phone Number, type the number with its country code and digits only, for example
919876543210. Don't add+, spaces or a leading 0.Click Connect
Click Connect. The message "Starting your whatsapp server. Please wait." appears, then the Scan QR Code panel shows a loading image while the server starts. This can take a few seconds.
Open Linked devices on your phone
Open WhatsApp on your phone. On Android tap Menu (⋮), on iPhone tap Settings. Then tap Linked devices, then Link device.
Scan the QR code
Point your phone at the QR code on screen. When the link succeeds, you see "🚀 Your whatapp is connected!." Click Send Test Message in the pop-up. It reloads the page. The number now shows as Connected.
What "connected" means#
Connected means Wbiztool has a working WhatsApp Web session for that number, so queued messages can be sent from it. Messages always go out from your real number, and recipients see them as normal WhatsApp messages from you.
The table under Connected Whatsapp lists every number in your workspace. It appears once you've added your first number, and the Best Practices card appears once at least one number is connected.

Keep your number connected#
- Keep WhatsApp installed and active on your phone. WhatsApp can log out linked devices when the main phone isn't used for a long time.
- Don't remove the Wbiztool session under Linked devices on your phone. That logs the number out.
- Follow the tips in the Best Practices card on the page, such as staying under 150–200 messages per number per day and not sending from brand-new numbers.
When a number is logged out, its status changes to Not Connected. The dashboard shows a WhatsApp Disconnected! alert, and workspace members get an email or WhatsApp alert, depending on their notification settings. Alerts repeat at most once a day, up to 5 times. Each member can turn them on or off with the WhatsApp Client Disconnect Alert switches on Settings → Notifications.
What happens to queued messages#
Messages are only sent while their number is connected. If a number disconnects:
- Its queued messages stay in the queue and still count as Pending Messages. They go out once you reconnect the same number.
- Messages sent with an expiry time through the API are marked Expired if the number isn't back in time.
- Queued messages still reserve credits. To free them, cancel them on the Reports page.
Reconnect a number#
Find the number
On WhatsApp settings, find the row showing Not Connected.
Click Redeploy
Open Actions and click Redeploy. Wbiztool fills in the number and starts a new connection.
Scan the new QR code
Scan the QR code from Linked devices on your phone, as when you first connected.
Redeploy on a number that is still Connected asks you to confirm with Yes, Redeploy. It disconnects the number from Wbiztool, and you then reconnect it as above. Use it when a connected number seems stuck.
Label a number#
Type a name in the Name/Label field of a row, up to 100 characters, for example Sales or Support line. A save button appears; click it or press Enter. You see "Label updated successfully".
Send a test message#
Open Actions on a connected number and click Send Test Message. Choose the number under WhatsApp Client:, add a phone number and press Enter, write the message and click Send. The message is queued, and Go To Reports takes you to its status. For all the options, see Send messages from the dashboard.
Delete a number#
Open Actions
On the number's row, open Actions and click Delete.
Confirm
Click Yes, Delete. You see "WhatsApp number 919876543210 has been deleted successfully." The number is removed from the list, and you can no longer send from it through the API.
You can't delete a number linked to a Unibox listener. Its menu shows Delete (Locked). Remove it from Incoming Triggers first.
Deleting doesn't unlink the device on your phone. Remove it under Linked devices in WhatsApp if you no longer want it listed there.
Number limits#
The number of WhatsApp numbers you can connect depends on your plan and appears in two places:
- Quota: on WhatsApp settings counts every number in your list, connected or not, against your plan's limit.
- WhatsApp Quota Used on the dashboard shows connected numbers against Allowed Max Connection:.
The limit counts connected numbers only. That's why Quota: can show more numbers than your limit and still let you connect. When your connected numbers reach the limit, the phone field is disabled and the page says "You have reached your connected whatsapp accounts limit." Delete or redeploy a connected number you no longer use, or click Upgrade your account to see plans. If your plan has expired or a payment failed, the page asks you to upgrade before you can connect.
Troubleshooting#

| "WhatsApp Account Limit Reached. Upgrade your account to get more whatsapp limit" | You've used all the WhatsApp slots on your plan. Delete or redeploy a connected number you no longer use, or upgrade. Deleting a Not Connected number doesn't free a slot. |
| "Contact support on chat." | That number is already connected in this workspace. If it isn't in your list, contact support. |
| QR code keeps loading | Wait up to a minute. If it doesn't appear, reload the page and click Connect again. |
| "Your whatsapp connection is failed!." | The QR code wasn't scanned in time, or the link didn't complete. Try again and scan straight away. |
| Phone field is disabled | Verify your email, check that your plan is active, and check you haven't reached your number limit. |
| Cannot delete a number | It's linked to a Unibox listener. Remove it from Incoming Triggers first. |
| "Only the owner or an editor can delete or disconnect WhatsApp numbers." | Your role can't delete a number or redeploy a connected one. Ask the workspace owner to do it or to change your role. |
